Every concern matters. This process explains what to report, how, and what happens next.
1.What to report
- Safeguarding concerns relating to a child or adult at risk.
- Harassment, abuse or discriminatory behaviour.
- Injury, near-miss, equipment failure or fire risk.
- Data breach or suspected breach.
- Cheating, match-fixing, fraud.
2.How to report
- Immediate danger — call 999 first, then notify the on-site Event Lead.
- Safeguarding — email safeguarding@esporting.co.uk or speak to the DSL.
- Data breach — email privacy@esporting.co.uk within 24 hours.
- Anything else — trust@esporting.co.uk.
- Anonymous channel — [independent reporting form link].
3.Response timelines
- Acknowledgement: within 1 working day (or immediate for safeguarding).
- Initial assessment: within 3 working days.
- Resolution or interim plan: within 10 working days, with regular updates if longer.
4.Records & confidentiality
Reports are logged in our secure incident register. Information is shared on a need-to-know basis only and retained for 6 years (longer for safeguarding).
5.Whistleblower protection
Anyone reporting in good faith is protected from retaliation under the Public Interest Disclosure Act 1998.
