These Event Booking Terms govern any quotation, order or contract for esports event services provided by Esporting. They supplement our Terms of Service.
1.Quotes & confirmation
Quotations are valid for 30 days unless stated otherwise. A booking is confirmed once we receive a signed order (or written acceptance by email) and the deposit has cleared.
2.Deposit & payment
- Deposit: 30% of contract value, due within 7 days of booking confirmation and non-refundable except as set out below.
- Balance: due 14 days before the event date.
- Invoices are in GBP. VAT is added at the prevailing UK rate where applicable.
- Late payment may attract statutory interest under the Late Payment of Commercial Debts (Interest) Act 1998.
3.Cancellation by the client
- More than 60 days before the event — deposit forfeited only.
- 30–60 days — 50% of contract value payable.
- 14–29 days — 75% of contract value payable.
- Under 14 days — 100% of contract value payable.
- Postponements within 6 months may, at our discretion, transfer paid amounts to a rescheduled date subject to availability.
4.Cancellation by Esporting
If we cancel for reasons within our control we will refund all sums paid. Our liability is limited to those sums as set out in Limitation of liability.
5.Force majeure
Neither party is liable for failure to perform due to events beyond reasonable control (e.g. natural disaster, terrorism, public health emergency, prolonged loss of utilities). We will work in good faith to reschedule.
6.Venue, power & connectivity
Unless agreed in writing, the client provides a suitable venue including adequate power (calculated by our spec), wired internet of agreed bandwidth, lighting control and load-in access. We will provide a Risk Assessment and Method Statement (RAMS) at least 7 days before the event.
7.Client obligations
- Ensure attendees observe site rules and the Online Conduct Policy.
- Provide collected parental consents for under-18 participants (see Parental Consent).
- Disclose any safeguarding considerations, accessibility requirements or known risks.
- Hold appropriate public liability insurance for the venue if not provided by Esporting.
8.Insurance & licensing
Esporting maintains Public Liability cover of [£5,000,000] and Employers' Liability cover of [£10,000,000]. All electrical equipment is PAT-tested annually. PRS/PPL music licensing is the responsibility of the venue unless specified.
9.Intellectual property & footage
Esporting retains rights in production assets, overlays and software. Captured footage may be used by Esporting for marketing subject to Media Consent. Bespoke commissioned branding transfers on full payment.
10.Liability
Our total liability for any event is limited to the contract value of that event, subject to the carve-outs in our Terms.
11.Governing law
These terms are governed by the laws of England & Wales. Any dispute is subject to the exclusive jurisdiction of the courts of England & Wales.
